Position Goal: Responsible to oversee effective daily operation of Hughston’s Tennessee clinic operations.

Position Responsibilities:
  • Answers to Clinic COO in all matters of Clinic operations for Tennessee
  • Oversees/orders supply inventory, ensures that mail is opened and processed; offices are opened and closed according to Hughston Clinic procedures for all the HCO locations.
  • Assist with the opening of all new HCO clinics.
  • Responsible for holding and documenting a Monthly Meeting with all team leads/managers
  • Assists Team Leads (Clinic/Office) as necessary.
  • Ensures proper onboarding and training is completed w/new hires for Front Office, Clinical Intake, MA’s, Surgery Schedulers, Appointments, and other clinic employees.
  • Oversees daily office operations; ensures process efficiency.  Monitors work status and progress for all satellite offices.  Responsible for CIR, MA, Front Office, Satellite Operations/consistency.
  • Oversees the daily deposit procedures for HCO clinics.
  • Entering and approving PTO time and printing timesheets.
  • Responsible for tracking productivity of employees.
  • Evaluates current processes and works with Admin/Team to implement best practices.
  • Responsible for monthly key performance indicators for all HCO locations and implementing improving strategies.
  • Responsible for monthly budget variances at all HCO locations and annual budget planning.
  • Responsible for management and oversite of all HCO policies and procedures.
  • Handling patient discrepancies as well as doctor complaints, responding to all complaints verbal and written. 
  • Providing resolution to any office issues.
  • Prepares reports and manages assigned projects.
  • Assists in interviewing and selection procedures. Handles various personnel matters including forms and procedures as required.
  • Conduct annual evaluations and assessments.
  • Implement and assist with any new or changed guidelines for the clinic operation.
  • Meet with administration to review operational issues and discuss strategic plans.  Maintains strictest confidentiality.
  • Must be able to make effective and independent operational decisions.
  • Assist COO with physician recruitment and onboarding
  • Establishes and attains achievable patient care, safety and service goals while ensuring financial viability
  • Assist in ensuring compliance with clinic, government and management expectations
  • Fosters a smooth functioning, efficient organization through anticipating problems with a timely and effective resolution of disruptions.
  • Quarterly Physician meeting to discuss practice improvement and review stats.
**Travel is required**

Experience: Three to five years of healthcare management related experience required. One year experience with financial business operations, budget experience required.
Education: Bachelor’s degree in health/business administration or related field required.
Special Qualifications: Must have effective communication skills both written and verbal. Must be able to multi-task and demonstrate good professional judgement in performance of daily duties. Must have exceptional customer service, problem solving ability. Knowledge of office management techniques, practices, computer systems and applications. Must have a valid driver's license and satisfactory Motor Vehicle Record (MVR).
