Position Goal: Provide day-to-day general assistance and training of Appointments staff members as well as assisting with maintenance of clinic templates. Accurately schedule and maintain appointments in a very fast paced, high volume environment.
 

Position Responsibilities:

  • Answer phones and return messages in a timely manner
  • Accurately enter patient demographics and insurance information
  • Schedule and maintain physician schedules to include cancelations and rescheduling
  • Obtain referrals to treat Tricare patients
  • Provide directions and general information to patients
  • Responsible for maintaining the master appointment templates for physicians, making permanent and/or temporary changes to the master appointment templates as indicated by the physician in conjunction with the Operations Manager
  • Responsible for assisting with managing daily operations of the department such as handling any and all emergencies related to appointment scheduling, and ensuring that all patients are assisted professionally
  • Review physician appointment schedules for accuracy and patient flow issues
  • Assist with employee job performance and time management provide feedback to Manager as needed.
  • Assist with annual performance review process. Collect paperwork, schedule as requested etc...
  • Assist with ensuring that department is properly staffed, conducive to the prompt completion of required daily duties for each specific department
  • Track scheduling trends for each physician
  • Maintains inventory check and order supplies as needed
  • Performs other duties as assigned by Management
Experience: Minimum of three to five years progressive customer service experience required. Health care setting preferred. Knowledge of medical terminology desirable.
Education: High School Diploma or equivalent
Special Qualifications: Knowledge of customer service concepts and clinic procedures
