Position Goal: Responsible for performing timely and accurate HR functions related to payroll, insurance, personnel information and employee documentation.

    • Ensures timely processing of all requested new/replacement positions.  Coordinates applicant tracking process by approved method.
    • Ensures timely processing (employee-hourly/salaried and physician level) of all employee/physician on-boarding, deduction changes, insurance, 401K, pay rate changes and basic payroll information for all locations.  Scans documents to payroll as needed for timely administration.  Ensures highest level of accuracy with all work performed.
    • Manages and corrects any deficiencies noted on insurance or vendor error reports.  Handles in a timely manner for minimum disruption.
    • Assist CHRO with all employee relations issues, meetings, calls, investigations as needed.  Report findings/status to CHRO at any time.
    • Responsible for maintaining accurate headcount for the Hughston Clinic Orthopaedics organization at all times.
    • Responsible for office “SOP” book.  Create/update/add new SOP’s as needed. Participates/Updates HR Team at monthly meetings regarding top HCO items.
    • Coordinates new hire employee and physician benefits selection process for all HCO locations.  Sends employee/ physician benefit selections to appropriate department for processing.  Notifies carriers timely.
    • Conducts first interview as needed (review of position description, review of Company benefits, Company review as needed, candidate job/resume review).  Forward to appropriate Managers for second interview as necessary. (through Applicant Tracking System)
    • Responsible for processing timely terminations—send all notifications regarding benefits—Term/COBRA, exit surveys etc.
    • Using existing systems, creates and/or coordinates reports as needed for HR/Administration.
    • Assists HR team in coordinating and participating in clinic special events Ex. Hughston Day, Annual Benefits Fair, Hughston Health day etc...
    •  Must have a working knowledge of HR law that affects work assigned. (FMLA, OFCCP, EEO, ADA etc….must be able to apply understanding to workplace situations). Ensures compliance.
    • Responsible for FMLA administration/processing and appropriate follow up with employees. Coordinating PTO, insurance payments etc….
    • Informs CHRO of escalating issues involving all aspects of Human Resources.
    • Coordinates hourly personnel action process to ensure all position changes are approved through appropriate Manager, CEO prior to processing.
    • Participates in annual enrollment benefit period and assist in processing benefit information in a timely manner before first pay date of following year. Works closely with payroll staff to performs double check for accuracy as needed prior to first pay date of new-year.
    • Responsible for audits on all benefit billings (audits must be completed by checking against payroll deduction reports) and submits for timely payment. Audits must occur on each invoice every month to ensure accuracy.  Any inaccurate information must be corrected immediately.
    • Must ensure highest level of efficiency, proper completion and accuracy of all benefit enrollments/changes (new hire, term, qualifying event etc…)
    • Participates in developmental meetings/lectures as necessary to stay abreast of current HR practices and procedures. 
    • Coordinates Employee of the Quarter program.  Ensures on-time processing and selection.
    • Maintains strictest confidentiality at all times.
    • Plans and conducts Hughston Clinic Orthopaedics Orientation Sessions.  (bi-monthly for THC/THF-required attendance for all new hires)
    • Utilize effective communication skills (written and verbal) interacting with co-workers, other clinic or hospital employees, supervisors, and outside vendors.
    • Promote The Hughston Clinic’s role in the community by greeting and interacting with all patients, families, visitors, vendors, and guests in a courteous and respectful manner.
    • Provides support or relief for other staff as needed.
    • Demonstrates confidentiality in all aspects to include both patient and non-patient issues.
    • Reflect THC/JHMH values and is sensitive to THC’s ethical and compliance principals in his/her daily activities.
    • Promote resolution of concerns and conflict by routing through correct mechanism or resolving the situation.
    • Able to prioritize daily functions/tasks.  Timely completion of assignments is a must.
    • Must be detail oriented, must be able to work independently.
    • Display a willingness to put forth effort in problem solving
    • Performs other duties as assigned by Management; participates in continuous improvement projects
Experience: Minimum three years HR administrative experience.  Preferably in a health care setting.  PHR or SPHR preferred.
Education: High School Diploma or equivalent required.  Minimum two or more year’s related higher education required.
Special Qualifications: Knowledge of payroll, employment, Applicant tracking and benefits documentation desirable.  Knowledge of PC (Microsoft Office), HRMS, Power Point, AAP applications a must. Must be able to demonstrate good professional judgment.  Must be able work independently; Must have great attention to detail and work effectively in high stress situations.  Must be able to communicate effectively both written and oral.  This position requires a collaborative work effort.
